HR Records Retention Coordinator
Company: Regions Hospital & Clinics

Regions Hospital Human Resources (HR) has an opportunity to join our team as a HR Records Retention Coordinator. This position plays an integral role in maintaining HR records, auditing HR information and providing customer service in the HR Service Center and completing assigned specialized transactions. Responsibilities include:

Maintaining HR records:

  • Ensuring employee information is scanned and/or uploaded into appropriate employee files
  • Retrieving employee files as needed
  • Confidentially copies/prints HR files for employee requests, charges, subpoenas, union grievances or other requests
  • Annually completing file archiving, sending appropriate files for off-site archiving with vendor and ordering confidential destruction of files after appropriate retention period

Auditing HR information:

  • Auditing new hire data for completion of employee HR file information
  • Auditing employee HR files for survey readiness for regulatory agencies
  • Auditing licensure and registration data in HR system for accuracy of data entry

Providing customer service in the HR Service Center:

  • Providing assistance to the HR Service Center in person and via phone
  • Answering questions from internal and external customers related to Human Resources including but not limited to: benefits, compensation, labor relations, leaves of absence, reward and recognition, recruitment, time and attendance. Phone duties are 60% of this role.
  • Assisting customers in obtaining HR resources and providing assistance to resolve specific questions or problems.
  • Handles difficult situations in a professional, compassionate manner and seeks appropriate assistance when required

Completing assigned specialized HR transactions and clerical support:

  • Processing written employment verification requests that are not able to be completed by the third party vendor
  • Maintaining and auditing I-9 files

Required Qualifications:

High school diploma or equivalent

Two (2) years’ work experience in customer service setting

Preferred Qualifications:

Associate’s degree or higher

Two (2) years’ experience in Human Resources with knowledge of standard HR products, services and policies/procedures

HR Solutions Consultant

Due to an internal promotion, Regions Hospital Human Resources has an opportunity to join our team as a HR Solutions Consultant in the HR Service Center. The HR Service Center provides a single point of contact with Regions Hospital Human Resources where internal and external customers (including Regions Hospital, RHSC and Capitol View Transitional Care Center employees, applicants and customers) can obtain prompt, courteous and accurate information about all things related to Human Resources including but not limited to: benefits, compensation, timecards, payroll, performance reviews, HR policies and processes, recruitment, labor relations, tuition reimbursement, etc.

The HR Solutions Consultant is responsible for providing superior support to customers making inquiries to the HR Service Center including:

  • Uses questioning and listening skills that support effective communication to accurately answer questions from customers (via phone, in person or by email). Phone duties make up 40% of this role
  • Handles difficult situations in a professional, compassionate manner and seeks appropriate assistance when needed
  • Assists customers in obtaining the appropriate HR-related policies, procedures and resources and provides assistance to resolve specific questions or problems
  • Investigates and resolves customer’s inquiries, concerns and questions regarding service provided by or through Regions Hospital Human Resources
  • Coordinates issues or problem resolution with other internal or external departments (such as payroll) on behalf of the employee

In addition to providing customer service, this position is responsible for managing specialized HR transactions and following applicable processes which includes:

  • Creating, updating and editing new hire records in the HRIS system (Lawson)
  • Processing employee changes, paperwork changes and pay changes for all employees including annual merit increases, promotions, special market increases and annual structure adjustments
  • Ensuring I-9 and Visa Management is completed timely for current and terminating employees
  • Preparing necessary data for launching employee evaluations in our HR system, preparing spreadsheets for leaders with employee data and processes merit pay increases
  • Completing payroll corrections
  • Facilitating communication process between HR, compensation, benefits, payroll and HRIS team regarding payroll/personnel corrections, deadlines and computer reports

Required Qualifications:

Associate’s degree or equivalent college courses and experience to equal 2 years

Three (3) years’ experience in customer service setting with extensive customer service and telephone skills

Preferred Qualifications:

Two (2) years’ experience in a Human Resources field with detailed knowledge of standard HR products, services and policies/procedures. Previous experience in a union and non-union environment
