Position Description

SUMMARY:  Provides support to for Education house-wide by coordinating and aligning education work in support of team member education; managing and maintaining Learning Management System courses and records; serving as a resource to educators and assisting in departmental efforts, etc.  This position is the back office support of all team educators. Scope of responsibility spans all clinical and non-clinical areas across the hospital.  Partners closely with leadership and all dept educators; to include but not limited to technical coordinators, leads, and dept resource.  Actively and consistently demonstrates the mission, vision, values and guiding principles of Maple Grove Hospital.



  1. 1.     Responsible for planning, coordinating, teaching/facilitating, evaluation and documentation of staff education as directed
    1. Researches, develops, and teaches non-clinical training material as directed
    2. Ability to create a stimulating learning environment for the learner
    3. Ability to facilitate group discussions
    4. Incorporates adult learning principles
    5. Establishes and maintains and network of contacts to remain current in the area of healthcare education
    6. Maintains Education Transcripts for all team members
  2. 2.     Responsible for NEW (new hire orientation)
    1. Regularly scheduled every other week
    2. Communication, coordination, set up and facilitation of the NEW experience
    3. Ability to create a welcoming engaging environment
    4. Coordinates content with content experts and delivers in a way that supports learning
  3. 3.     Primary coordination and administrative responsibilities for Required Learning, mandatory trainings, Clinical Core, in services and in support of team member education to include:
    1. Centralized education calendar.
    2. Assist in preparing presentations, flyers, hand-outs, etc. as needed
    3. Formulating communication strategies in partnership with Educators.  Utilization of resources such a Sign-Up Genius and the Customer Service Center.
    4. Preparing training materials: notices, sign in sheets, handouts.
    5. Coordination and record keeping for planning meetings, ie skill fair planning meetings.
    6. Reserving conference rooms based on education activities. May work with vendors to schedule in-  services, obtain equipment, supplies and materials, etc.
    7. Logistical Support; provides logistical support which may include:
      1.                                           i.    Coordinate equipment procurement and issue resolution/maintenance (computers, projectors, educational equipment, etc.)
      2.                                          ii.    Scheduling meetings, presentations, in-services, classes, orientation, etc.  Coordinate space planning efforts
      3.                                         iii.    Coordinate catering/room configuration
      4.                                         iv.    Submit facilities requests
      5.                                          v.    Ensure hardware access to training environments
  4. 4.     Compliance and Education Metrics
    1. Participates in establishing, monitoring and reporting of education metrics (including pulse check audits)
    2. Trend analysis and performance/process improvement recommendations
    3. Responsible for gathering information for survey or compliance as directed
    4. Assures DNV and other requirements as it relates to required education and documentation and record keeping
  5. 5.     Facilitates assimilation of academic institutions/students (non-medical staff) to MGH and coordinates the process for job observation/shadowing, including:
    1. Following up to ensure completion/compliance of orientation documentation.
    2. Validating background check completion of students with the applicable academic institution.
    3. Confirming immunization records required for students staff.
  6. 6.     Responsible for Preceptor program
    1. Direct support and/or training of the preceptor program, including record keeping and tracking of those trained. 
    2. Updated information to HR for payroll consideration. 
    3. Assure program is aligned with best practice
    4. Courses offered as needed to assure integrity of the program
  7. 7.     Manages and maintains Learning Management System, such as:
    1. Creating and/or revising non-clinical coursework (e.g. Employee Handbook sign-off).
    2. Loading and assigning (clinical and non-clinical) coursework to applicable staff.
    3. Maintaining accurate and up-to-date data for education-related activities, such as number of attendees, etc.
    4. Monitoring usage and assigned course completion; following up with leaders/team members as needed on incomplete courses.
    5. Data entry as needed
    6. Completing audits and preparing reports from the Learning Management system, as scheduled or required.
    7. May be super-user for LMS in partnership with HRIS team
  8. 8.     Coordinates Orientation Competency Program
    1. Support educators and dept preceptors/leads/tech coordinates with new hire and transfer orientation checklist process and audits completion.
    2. Coordinates annual review and update process
    3. Assists in development of checklists for new positions
  9. 9.     Vocera education for new hires or ongoing as deemed necessary.
  10. 10.  Committee involvement as directed.
  11. 11.  Responsible for maintaining updates to the Education Intranet page.
  12. 12.  In partnership with HR and educators, tracks required certifications and follows up as necessary with staff and leaders. Working with educator or leader and team member to establish a “plan” for completion
  13. 13.  Coordinates archival of education records in compliance with legal requirements, hospital policy, and accreditation body standards.
  14. 14.  Reviews and prepares departmental invoices for approval using On Demand Accounts Payable (ODAP). Upon request, provides explanations of variance to budget.
  15. 15.  Coordinates and schedules volunteers as necessary to perform education-related projects or on-going work; contacts with Volunteer Services to articulate needs and schedules.  Performs assessment of volunteers’ work and provides feedback to Volunteer Services.
  16. 16.  Orders and organizes office and educational supplies, materials, and teaching tools. Places orders for replacement or new materials as requested.
  17. 17.  Assists in care and maintenance of department equipment such as telephone, copy machine, fax machine and other office equipment. 
  18. 18.  Reports defective equipment to appropriate department or service provider.
  19. 19.  Recognizes and complies with legal and procedural requirements related to area of responsibility.
  20. 20.  Protects patient/employee privacy and only accesses patient/employee related information as needed to perform job duties.
  21. 21.  Reports violations or areas of concern to supervisor or other members of hospital leadership via established methods of communication.

  • A minimum of 2 years team member education experience, preferably in a healthcare environment.
